Privacy Policy
This privacy policy informs you about our handling of your data. OrestisV attaches great importance to the security of users' data and compliance with data protection regulations. We would like to inform you below about the processing of your personal data on our website and in our work with you.
In order to ensure fair processing, this privacy policy contains general information about how we handle your data as well as information about your rights under the European Data Protection Regulation (GDPR).
Who is responsible for your data
The controller within the meaning of the GDPR is Orestis Vasilakis, trading as OrestisV. You can reach us at info@orestisv.com. Our full business details (address and business ID) are at the bottom of this page.
Scope of the processing of personal data
As a matter of principle, we collect and use personal data of our users only insofar as this is necessary for the provision of a functional website as well as our contents and services. This policy covers our website and our work with clients: for example applications, sessions, events and recordings, testimonials, payments and products, communication and marketing.
The legal basis for each is given below.
You don't have to give us personal data, but without some of it (for example your contact details) we can't reply to you or work with you. Our Services are meant for adults: we don't knowingly collect personal data from children under 16, and if we learn that we have, we delete it.
Legal basis for the processing of personal data
- Consent
Insofar as we obtain the consent of the data subject for processing operations involving personal data, Article 6(1)(a) of the GDPR serves as the legal basis for the processing of personal data.
- Performance of a contract or pre-contractual measures
When processing personal data that is necessary for the performance of a contract to which the data subject is a party, Art. 6 (1) (b) GDPR serves as the legal basis. This also applies to processing operations that are necessary for the performance of pre-contractual measures.
- Legal obligation
Insofar as processing of personal data is necessary for compliance with a legal obligation to which our business is subject, Art. 6 (1) c GDPR serves as the legal basis.
- Vital Interests
In the event that vital interests of the data subject or another natural person make processing of personal data necessary, Art. 6 (1) (d) GDPR serves as the legal basis.
- Legitimate Interest
If the processing is necessary to protect a legitimate interest of our business or a third party and the interests, fundamental rights and freedoms of the data subject do not outweigh the first-mentioned interest, Art. 6 (1) lit. f GDPR serves as the legal basis for the processing.
Rights of the data subject
If personal data is processed by us, you are a data subject within the meaning of the GDPR and you are entitled to the following rights:
Right to information:
You may request confirmation from the controller as to whether personal data concerning you is being processed by us. If there is such processing, you may request information from the controller about the following:
the purposes for which the personal data are processed,
the categories of personal data which are processed,
the recipients or categories of recipients to whom the personal data concerning you have been or will be disclosed,
the envisaged duration of the storage of the personal data concerning you or, if specific information on this is not possible, criteria for determining the storage period,
the existence of a right to rectify or erase personal data concerning you, a right to have processing restricted by the controller or a right to object to such processing,
the existence of a right of appeal to a supervisory authority,
any available information on the origin of the data, if the personal data are not collected from the data subject,
the existence of automated decision-making, including profiling, pursuant to Article 22(1) and (4) of the GDPR and, at least in those cases, meaningful information about the logic involved and the scope and intended effects of such processing for the data subject. You have the right to request information on whether personal data concerning you are transferred to a third country or to an international organization. In this context, you may request to be informed about the appropriate safeguards pursuant to Art. 46 GDPR in connection with the transfer.
Right to rectification:
You have a right to rectification and/or completion, insofar as the personal data processed concerning you are inaccurate or incomplete. The controller must make the rectification without undue delay.
Right to restriction of processing:
You may request the restriction of the processing of personal data concerning you under the following conditions:
if you contest the accuracy of the personal data concerning you for a period enabling the controller to verify the accuracy of the personal data,
the processing is unlawful and you object to the erasure of the personal data and request instead the restriction of the use of the personal data,
the controller no longer needs the personal data for the purposes of the processing, but you need it for the establishment, exercise, or defense of legal claims; or
if you have objected to the processing pursuant to Article 21(1) of the GDPR and it has not yet been determined whether the controller's legitimate grounds override your grounds.
Where the processing of personal data relating to you has been restricted, such data may only be processed - apart from being stored - with your consent or for the establishment, exercise or defense of legal claims or for the protection of the rights of another natural or legal person. If the restriction of processing has been restricted in accordance with the above conditions, you will be informed by the controller before the restriction is lifted.
Right to erasure:
You may request the controller to erase the personal data concerning you without undue delay and the controller is obliged to erase such data without undue delay if one of the following reasons applies:
The personal data concerning you are no longer necessary for the purposes for which they were collected or otherwise processed.
You withdraw your consent on which the processing was based pursuant to Art. 6(1)(a) or Art. 9(2)(a) GDPR and there is no other legal basis for the processing.
You object to the processing pursuant to Article 21(1) GDPR and there are no overriding legitimate grounds for the processing, or you object to the processing pursuant to Article 21(2) GDPR.
The personal data concerning you have been processed unlawfully.
The erasure of the personal data concerning you is necessary for compliance with a legal obligation.
The personal data concerning you has been collected in relation to information society services offered in accordance with Article 8(1) of the GDPR.
The right to erasure does not apply insofar as the processing is necessary:
for the exercise of the right to freedom of expression and information,
for compliance with a legal obligation,
for the performance of a task carried out in the public interest or in the exercise of official authority vested in the controller,
for reasons of public interest in the area of public health pursuant to Article 9(2)(h) and (i) and Article 9(3) of the GDPR,
for the assertion, exercise or defense of legal claims.
Right to notification:
If you have asserted the right to rectification, erasure or restriction of processing, the controller is obliged to inform all recipients to whom the personal data concerning you have been disclosed of this rectification or erasure of the data or restriction of processing, unless this proves impossible or involves a disproportionate effort. You have the right to be informed of these recipients by the controller.
Right to data portability:
You have the right to receive the personal data concerning you that you have provided to the controller in a structured, common and machine-readable format. You also have the right to transmit this data to another controller without hindrance from the controller to whom the personal data has been provided. The right to data portability does not apply to processing of personal data necessary for the performance of a task carried out in the public interest or in the exercise of official authority vested in the controller.
Right to object:
You have the right to object at any time, on grounds relating to your particular situation, to the processing of personal data concerning you which is carried out on the basis of Article 6(1)(e) or (f) of the GDPR; this also applies to profiling based on these provisions. The controller shall no longer process the personal data concerning you unless it can demonstrate compelling legitimate grounds for the processing which override your interests, rights and freedoms, or the processing serves the purpose of asserting, exercising or defending legal claims.
You can also object at any time to the use of your data for direct marketing, including profiling related to it; we will then no longer use it for this purpose (Art. 21 (2) and (3) GDPR).
Right to revoke your consent:
You have the right to revoke your consent at any time. The revocation of consent does not affect the lawfulness of the processing carried out on the basis of the consent until the revocation.
Automated decision in individual cases including profiling
You have the right not to be subject to a decision based solely on automated processing - including profiling - which produces legal effects concerning you or similarly significantly affects you.
Right to complain to a supervisory authority:
Without prejudice to any other administrative or judicial remedy, you have the right to lodge a complaint with a supervisory authority, in particular in the Member State of your residence, place of work or the place of the alleged infringement, if you consider that the processing of personal data concerning you infringes the GDPR. The supervisory authority to which the complaint has been lodged shall inform the complainant of the status and outcome of the complaint, including the possibility of a judicial remedy under Article 78 GDPR.
Provision of the website and creation of log files
Each time our website is accessed, the servers of our hosting provider (see "Website hosting" below) automatically collect data and information from the computer system of the accessing computer. The following data is collected:
Information about the type of browser and the version used.
The user's operating system
The user's Internet service provider
The IP address of the user
Date and time of access
Websites from which the user's system accesses our website
Websites that are accessed by the user's system via our website.
The log files contain IP addresses or other data that enable an assignment to a user. This could be the case, for example, if the link to the website from which the user arrives at the website or the link to the website to which the user goes contains personal data. This data is also stored in the log files of our system. This data is not stored together with other personal data of the user.
The legal basis for the temporary storage of the data and the log files is Art. 6 para. 1 lit. f GDPR. The temporary storage of the IP address by the system is necessary to enable delivery of the website to the user's computer. For this purpose, the IP address of the user must remain stored for the duration of the session. The storage in log files is done to ensure the functionality of the website. In addition, we use the data to optimize the website and to ensure the security of our information technology systems. An evaluation of the data for marketing purposes does not take place in this context. These purposes are also our legitimate interest in data processing according to Art. 6 para. 1 lit. f GDPR.
The data is deleted as soon as it is no longer required to achieve the purpose for which it was collected. In the case of the collection of data for the provision of the website, this is the case when the respective session has ended. In the case of storage of data in log files, this is the case when they are no longer needed for security and operation, in line with our hosting provider's retention periods. Storage beyond this period is possible. In this case, the IP addresses of the users are deleted or alienated so that an assignment of the calling client is no longer possible. The collection of data for the provision of the website and the storage of the data in log files is absolutely necessary for the operation of the website. Consequently, there is no possibility for the user to object.

Newsletter
Our newsletters and related notices are sent using a third-party newsletter provider, which processes your email address on our behalf under a data processing agreement (Art. 28 GDPR). You can unsubscribe at any time using the link in each newsletter.
Your contact details stay with the provider you gave them through (for example our form, event or email provider), and we may also bring them together in our contact management tool, so we can reply to you and keep track of our work together. The retention periods in this policy apply wherever your data is stored. We add you to our newsletter when you agree to it, for example by ticking the box on our forms or event registrations (Art. 6 (1) (a) GDPR), and, if you are a client, to tell you about Services similar to the ones you bought, as the law allows, if we told you when we collected your email address and you didn't object (Art. 6 (1) (f) GDPR). We keep your email address for the newsletter until you unsubscribe. You can object or unsubscribe at any time, free of charge, using the link in each email or by contacting us.
Our emails may tell us whether they were opened and which links were clicked, so we can see what is useful to readers. This is part of the newsletter you agree to receive; if you don't want it, you can unsubscribe at any time.
Contacting us
When you contact us or apply for any of our Services, personal information is collected. Which information is collected in the case of a contact form can be seen from the respective contact option. This information is stored and used to respond to your request and stay in touch, and for the associated technical administration. Health information isn't needed when you contact us or apply; if you share it, we use it only to respond to you, on the basis of your explicit consent (Art. 9 (2) (a) GDPR), which you can withdraw at any time. Your information will be deleted when it is no longer needed for these purposes, provided that there are no statutory retention obligations to the contrary.
The legal basis for the processing of the data is Art. 6 (1) lit. a GDPR if the user has given their consent. The legal basis for the processing of data transmitted in the course of sending an e-mail is Art. 6 para. 1 lit. f GDPR. If your contact or application aims at the conclusion of a contract, the additional legal basis for the processing is Art. 6 para. 1 lit. b GDPR.
The user has the option of revoking their consent to the processing of personal data at any time. If the user contacts us by e-mail, they can object to the storage of their personal data at any time. To do so, contact us using the details under "Who is responsible for your data". In such a case, the conversation cannot be continued. All personal data stored in the course of contacting us will be deleted in this case.
Coaching sessions and client records
When we work together, we process what is needed to provide our Services: your contact details, the dates and content of our sessions, and notes we take. Sessions take place by video call, audio call, in person or through text. If you agree, we may use transcription and AI tools to produce a transcript or summary of a session, which we use only to prepare for and follow up on our work together. Sessions are not recorded unless we agree on it.
What we talk about can include information about your health or private life. We process such information only to provide our Services, on the basis of your explicit consent (Art. 9 (2) (a) GDPR), which you can withdraw at any time without affecting processing that took place before. Other session data is processed to perform our contract with you (Art. 6 (1) (b) GDPR).
We may discuss our work in supervision or training, without anything that identifies you. If there is a serious risk to your life or someone else's, we may share what is necessary with emergency services (Art. 6 (1) (d) and Art. 9 (2) (c) GDPR).
We keep session notes, transcripts and summaries for as long as we work together and afterwards for as long as needed to respond to any questions or claims about our work, unless you ask us to delete them sooner or the law requires us to keep them longer.
Recordings and photos of workshops and events
Some group workshops, programmes and events are recorded or photographed, and we may publish or sell the recordings and use the photos to show our work. We tell you before the recording starts, for example in the event description or at the start of the event. A recording can include your image, your voice, the name shown on your screen and what you say. We process this on the basis of your consent, which you give by taking part once you have been told (Art. 6 (1) (a) GDPR), and, if you share information about your health, your explicit consent (Art. 9 (2) (a) GDPR). You can keep your camera off, use a first name or a nickname, and choose not to speak. We keep recordings and photos for as long as we use them. You can withdraw your consent at any time; for future uses, we will then either remove you from the recording (for example by cutting, cropping or blurring) or stop using it, but we can't take back copies that others have already bought or downloaded.
Payments and accounting
When you pay for a Service or a product, we process your name, contact and billing details, what you bought and the payment details, through our bank and payment providers. Card details are handled by the payment provider, not by us. If you order a physical product, we also process your delivery address and share it with the printing, fulfilment or delivery company that sends it to you. The legal basis is our contract with you and our legal obligations (Art. 6 (1) (b) and (c) GDPR). Invoices and accounting records are kept for the periods required by applicable tax and accounting law.
Testimonials and reviews
With your permission, we publish what you tell us about your experience of working with us, including words from our sessions, on our website and in our other channels (for example social media, ads or printed materials), in the form you agree to (for example written, audio or video, with your name, initials or anonymously) (Art. 6 (1) (a) GDPR). Reviews you have already made public (for example on Google) we may quote as you published them, on the basis of our legitimate interest in showing our work (Art. 6 (1) (f) GDPR). Where a testimonial or review mentions your health, we rely on your explicit consent or on the fact that you made it public yourself (Art. 9 (2) (a) and (e) GDPR). We remove any testimonial or review at your request.
User account / registration
Where we offer membership accounts (for example for courses or a community), you can create one. For this purpose, you will need to provide us with the following: Username, Email, and Password. Providing those will enable you to log in more easily without having to enter your data again when you use our services next. OrestisV stores the data you enter to set up a customer account. We will hold your data for further orders as long as you maintain your registration. You have the right to access, correct or delete your registration data at any time. The legal basis for the storage is Art. 6 Para. 1 lit. a) GDPR.
Passwords
You should never disclose your password for accessing our portal to any third party and you should change it regularly. If you want to leave your account, you should press the logout and close your browser to prevent anyone from gaining unauthorized access to it.
Membership account and Profile Data
Within the Membership account you may be able to display certain profile information, share certain details, engage with others, post and view relevant content. You have choices about the information on your profile. You don’t have to provide additional information on your profile; however, profile information helps you to get more from our Services. It’s your choice whether to include sensitive information on your profile and to make that sensitive information public. Please do not post or add personal data to your profile that you would not want to be available. We may use what you post, after removing anything that identifies you, for analytics or with AI tools to improve our Services (Art. 6 (1) (f) GDPR). The legal basis for the storage is Art. 6 (1) (f) GDPR.
Commercial and business services
We process data of our contractual and business partners, e.g., customers and interested parties in the context of contractual and comparable legal relationships as well as related measures and in the context of communication with contractual partners (or pre-contractual), e.g., to answer enquiries.
We process this data to fulfil our contractual obligations, to secure our rights and for the purposes of the administrative tasks associated with this information as well as for business organization. We keep this data for as long as needed for these purposes and for any period required by law. We only disclose the data of the contractual partners to third parties within the scope of the applicable law to the extent that this is necessary for the aforementioned purposes or for the fulfilment of legal obligations or with the consent of the contractual partners (e.g., to participating telecommunications, transport, and other auxiliary services as well as subcontractors, banks, tax and legal advisers, payment service providers or tax authorities).
Unless otherwise specified the purposes of processing are Contractual performance and service, contact requests and communication, office and organizational procedures, administration, and response to requests, and marketing (interest-based or behavioural marketing only with your consent, as described under "Advertising and search").
And, the Legal bases are Contractual performance and pre-contractual inquiries, Legal obligation, and our Legitimate interests.
When do we disclose your Personal Data?
We may share your information with organizations that help us provide the services described in this policy and who may process such data on our behalf and in accordance with this policy, to support our online offer and our services.
Typically, and unless otherwise stated in this policy, data may be shared on the basis of our contractual and pre-contractual obligations, in accordance with Art. 6 para. 1 lit. b) GDPR. Equally, if you have consented to it, or where we have a legal obligation to do so or on the basis of our legitimate interests (e.g., when using agents, hosting providers, tax, business and legal advisors, customer care, accounting, billing and similar services that allow us to perform our contractual obligations, administrative tasks and duties efficiently and effectively).
If we commission third parties to process data on the basis of a so-called "processing agreement", this is done on the basis of Art. 28 GDPR.
In relation to meta data obtained about you, we may share a cookie identifier and IP data with analytic service providers to assist us in the improvement and optimization of our website which is subject to our Cookie Policy.
We may also disclose information in other circumstances such as when you agree to it or if the law, a Court order, a legal obligation or regulatory authority ask us to. We may also do so to prevent fraud or crime, or where it is necessary to protect and defend our right, property or personal safety of our staff, the website and its users. If we transfer our business, your data passes with it and this policy continues to apply.
Integration of services and contents of third parties
We use within our online offer on the basis of our legitimate interests (Art. 6 para. 1 lit. f. GDPR) or, where required, your consent (for example when you click play on a video), content or services offered by third-party providers in order to integrate their content and services.
This always requires that the third-party providers of this content are aware of your IP address, since the content or service could not send to your browser without the IP address. The IP address is thus required for the display of this content, and we endeavor to use providers that only use your IP address for the delivery of the content or services. However, Third-party providers may also use so-called pixel tags (invisible graphics, also known as "web beacons") for statistical or marketing purposes. The "pixel tags" can be used to evaluate information such as visitor traffic on the pages of this website. The pseudonymous information may also be stored in cookies on the user's device and may contain, among other things, technical information about the browser and operating system, referring websites, time of visit and other information about the use of our online offer, as well as be linked to such information from other sources.
The below list shows our third-Party service providers. This of course is non exhaustive and will be updated alongside the changes we implement on our website. If you wish to learn more about our service providers, please follow the link to their relevant Privacy policy. We use the following Service providers:
YouTube
On our website, we implement videos of the video portal "YouTube" of Google Ireland Limited, Gordon House, Barrow Street, Dublin 4, Ireland.
Doing so, we use the "privacy-enhanced mode" option provided by Google. Videos load only when you click play; until then, no connection is made to YouTube. According to Google's information, in "privacy-enhanced mode" your data - in particular which of our Internet pages you have visited as well as device-specific information including the IP address - is only transmitted to the YouTube server in the USA when you watch the video. By clicking on the video, you consent to this transmission.
If you are logged in to Google at the same time, this information will be assigned to your YouTube member account. You can prevent this by logging out of your member account before visiting our website.
Audio and podcast players
Where we embed audio or podcast players, they load only when you click play. From then on, the provider receives your IP address and information about your visit, and processes them under its own privacy policy.
Vimeo
We have integrated videos from the provider Vimeo LLC and some of our pages contain videos from Vimeo. These videos load only when you click play, with Vimeo's "do not track" setting on. When you click play, a connection is established to the Vimeo servers. This transmits to the Vimeo server which of our Internet pages you have visited. If you are logged in as a Vimeo member, Vimeo assigns this information to your personal user account. When you click on the start button of a video, this information can also be assigned to an existing user account. You can prevent this assignment by logging out of your Vimeo user account before using our website and deleting the corresponding cookies from Vimeo.
Booking, course and community platforms
We may use third-party platforms for appointment booking, event registration, payments, online courses, memberships and communities. Where we do, they process your data on our behalf under a data processing agreement (Art. 28 GDPR) or, for their own purposes, as independent controllers, and their own privacy policies apply to how they run their services.
Website hosting
This website is hosted by a hosting provider, which may also process our forms. It processes the data described in this policy on our behalf, under a data processing agreement (Art. 28 GDPR). If it is based outside the European Economic Area, transfers are covered as described under "Service providers and transfers outside the EU".
Social Plugins
We may use so-called social plugins of various social networks in our online offer (for example share or like buttons, or embedded posts). If we add plugins, they load only with your consent, given by clicking them or through our cookie banner (Art. 6 (1) (a) GDPR). When using the plugins, your internet browser establishes a direct connection to the servers of the respective social network. This provides the respective provider with the information that your internet browser has accessed the corresponding page of our online offer, even if you do not have a user account with the provider or are not currently logged in to it. Log files (including the IP address) are transmitted by your Internet browser directly to a server of the respective provider and may be stored there. The provider or its server may be located outside the EEA (e.g., in the USA).
The plugins represent independent extensions of the social network providers. We therefore have no influence on the scope of the data collected and stored by the providers of the social networks via the plugins.
For the purpose and scope of the collection, further processing and use of the data by the social network, as well as your rights in this regard and setting options for protecting your privacy, please refer to the privacy policy of the respective social network.
If you do not want the providers of the social networks to receive and possibly store or further use data about this online offer, you should not use the respective plugins.
Social media
Our website links to our profiles on social networks. These are plain links: nothing is sent to the social network unless you click one.
When you visit or interact with our pages on social networks (for example Facebook, Instagram, LinkedIn or YouTube), the network processes your data under its own privacy policy. For our Facebook and Instagram pages, we and Meta Platforms Ireland Limited are jointly responsible for the page statistics Meta provides to us (Art. 26 GDPR).
Advertising and search
We may advertise our Services on search engines, social networks, AI platforms and other websites (for example Google, Meta, LinkedIn or YouTube). Running ads doesn't by itself give us information about you; the platforms show ads under their own privacy policies.
Some of our ads may include a form (for example lead forms on Meta, LinkedIn or Google). If you fill one in, the platform passes your answers to us, and we use them to reply to you and, if you apply for one of our Services, as described under "Contacting us" (Art. 6 (1) (b) GDPR). We add you to our mailing list only if you agree to it in the form.
If we use advertising or conversion tracking on our website (for example the Meta Pixel or Google Ads tags) or show our ads to people who visited our website (retargeting), we do so only with your consent, given through our cookie banner (Art. 6 (1) (a) GDPR). If we use our contact lists to reach people through advertising platforms (for example "custom audiences"), we do so only with your consent. You can withdraw your consent at any time.
We may use search engine tools (for example Google Search Console) to see how our website appears in search results. They give us statistics, not information about individual visitors, and place nothing on your device.
Service providers and transfers outside the EU
We use service providers to run our business, for example for website hosting, online forms, email, newsletters and contact management, video calls, transcription and AI tools, cloud storage, calendars and booking, event registration, payments and accounting, online courses and communities. They process personal data only on our instructions, under data processing agreements (Art. 28 GDPR). Some of them, such as banks and payment providers, also process your data for their own legal obligations, as independent controllers under their own privacy policies.
Some of them are based outside the European Economic Area, in particular in the USA. Where data is transferred there, we rely on an adequacy decision of the European Commission (such as the EU-US Data Privacy Framework) or on the European Commission's Standard Contractual Clauses (Art. 45 and 46 GDPR). On request, we will tell you which providers we currently use.
How do we secure your personal information?
OrestisV is committed to keeping your personal information secure. We implement appropriate measures and take steps to protect personal information against loss and theft as well as unauthorized access, disclosure, copying, use, and modification using security safeguards, including physical, administrative, organizational and technological measures, appropriate for the sensitivity of your personal information.
We use, for example, encryption and access controls, appropriate for the sensitivity of your data (card payments are handled by our payment providers). When disposed of, the information is securely shredded, destroyed, erased, or otherwise made unreadable.
Please be aware that no security measures can guarantee complete security. You should also take steps to protect against unauthorized access to your password, phone, and computer by, among other things, signing off after using a shared computer, choosing a robust password that nobody else knows or can easily guess, and keeping your login credentials private.
Final Provisions
We reserve the right to update this privacy policy from time to time in order to take into account a changing legal situation or the expansion of the functional scope of the platform. On this occasion, the date of the last update at the end of the privacy policy will also be adjusted accordingly. If any material changes are made to this Privacy Policy, we will notify you in a prominent manner within our Service or by sending a notice directly to you. Please review this privacy policy regularly to stay informed about the privacy practices of the personal information we collect.
If you have any questions about this privacy policy or data protection in general, please contact us.
